Financial Planning & Project Coordinator (Part-Time)
Job Description
The Financial Planning & Project Coordinator primarily supports the Financial Planning department's internal projects and operational initiatives, including workflow improvement, automation support, documentation, testing, progress tracking, training support, and implementation coordination. This role will also provide secondary support to client financial planning work under the guidance of the Senior Financial Planner, creating an opportunity to build deeper financial planning knowledge while contributing to department priorities. This is a part- time role.
This role is intended to provide dedicated support for high-priority Financial Planning initiatives focused on automation, workflow improvement, and scalable planning support. Examples include improving financial planning software processes, reducing manual inputs and repetitive tasks, supporting implementation of new workflows, and strengthening documentation and training resources. These efforts are designed to reduce advisor time spent building financial plans and completing manual planning-related tasks, allowing advisors to focus more on business development and relationship management. The role also supports the department's longer-term goal of building a more centralized and scalable Financial Planning function through more consistent workflows, stronger documentation, and improved operational coordination.
Responsibilities
- Support departmental projects related to workflow improvement, automation, systems enhancements, and process standardization.
- Maintain project trackers, action items, meeting notes, timelines, and weekly status reporting.
- Document workflows, business needs, process changes, reference materials, and implementation details in a clear and organized manner.
- Assist with testing and validation of new tools, reports, automations, and planning-related workflows.
- Help prepare training materials, process guides, and rollout documentation for new systems or procedures.
- Coordinate follow-up across internal stakeholders to help keep projects moving on schedule.
- Identify gaps, inconsistencies, or downstream issues in workflows and escalate them appropriately.
- Provide secondary support to the Senior Financial Planner with client financial planning preparation, follow-up, data organization, and related planning tasks.
- Assist with other Financial Planning department projects and responsibilities as needed.
Required Qualifications
- CFP candidate or successful completion of the CFP exam.
- Familiarity with wealth management technology tools, including CRM systems and financial planning software.
- Strong organizational skills with close attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and maintain clear documentation and follow through.
- Ability to learn new systems, processes, and tools quickly.
- Familiarity with financial planning software and advisory technology tools, including eMoney and CRM platforms such as Salesforce.
- Proficiency with collaboration and productivity tools, including Slack and Microsoft Office.
- Ability to work across multiple systems to support project coordination, documentation, reporting, testing, and implementation support.
Preferred Qualifications
- Experience in a financial advisory, wealth management, or financial planning environment.
- Experience with financial planning software and advisor technology tools.
- Experience supporting process improvement, system implementation, documentation, testing, or training initiatives.
- Interest in financial planning operations, workflow improvement, and technology-enabled support models.
